Privacy Policy for Flow Down Counselling & Psychotherapy

1. The data we collect

  • Name, email address, phone number when you submit a consultation form.

  • Session preferences (online/in‑person) and enquiry details.

2. How we use your data

  • To schedule and conduct your free 20‑minute consultation.

  • To respond to your enquiry and provide ongoing therapy services.

  • To send appointment reminders and important practice updates.

  • Lawful basis: Consent (you tick the box on the enquiry form), and

  • Legitimate interest: (managing client relationships).

3. Data sharing

  • We do not sell or share your personal data with third parties except:

    • Where required by law (e.g. court order).

    • With your explicit consent (e.g. a referral to another practitioner).

4. Data retention

  • Enquiry data is deleted 12 months after your last contact if you do not become a client.

  • Client records are retained for 7 years in accordance with NCPS guidelines, then securely destroyed.

5. Your rights

Under GDPR you have the right to:

  • Access your personal data.

  • Rectify errors or omissions.

  • Erase (the “right to be forgotten”) in certain circumstances.

  • Restrict or object to processing.

  • Data portability (receive your data in a common format).
